FAQ

Birds of a Feather:
Q: How do I submit a proposal for a BOF session?
A: You must use the form on the PETE&C website. It is typically made available in Late October and it closes the end of December
Q: When will I find out if my session idea has been accepted?
A: That notice goes out early in January
Q: What resources are in the room for us to use?
A: Assume NO resources (projector, speakers, etc), so if you need them, bring them
Q: I'm a vendor. Can I submit a BOF session?
A: Yes. However, they are judged on a case-by-case basis. BOF sessions are NOT meant to be infomercials. And, they will be scheduled only if there are rooms available after the other proposals are scheduled.
Q: If my proposal is accepted but I cannot attend the conference for some reason, what should I do?
A: Send that notice to Jim Gates, jgates513@gmail.com, so we know to post a sign on the room as notice that it's canceled.

Exhibitor FAQ’s:
Q: Why should I exhibit at the PETE & C Conference?
A: PETE & C is the largest educational technology conference in Pennsylvania. It draws educators and technologists from around the state who want to learn about and purchase products that can benefit their schools. These attendees represent school districts and educational entities that are a huge technology market for hardware, software, web services, furniture, AV products, education programs and more. One of the benefits of being a PETE & C exhibitor is that you are eligible to apply to present pre-conference, concurrent , and special evening educational sessions. Hospitality opportunities are also available. Exhibitors receive complimentary conference registrations for their exhibit booth reps.
Q: How many people attend the PETE &C Conference?
A: Normally, around 2,000 attendees and 500 exhibitor reps.
Q: What is the breakdown of attendees by job type?
A: In 2009, the breakdown was: Teachers – 48%; Technologists 28%; Instructional Administrator 12%; Higher Ed 2%, Other 10%
Q: How many booths are available?
A: There are a total 225 booths. Some table tops may be available in 2011.
Q: When can I sign up for a booth?
A: Registration for the next year’s conference begins as soon the current conference ends. The current year’s exhibitors and sponsors get priority on booth selection. About 2 weeks after the end of the conference, exhibit space is opened up to any interested vendor. Booth space is normally sold out by the end of September.
Q: How do I sign up for a booth?
A: It is advised that you call Marilyn at 717-540-9551 to reserve a booth. You then have 2 weeks to submit the contract and payment. The forms can be found at
http://www.peteandc.org/exhibitors.asp Booth costs can be found on the form. An exception is if you want to sign up during the advance reservation period shortly after the conference. In that case, an Advance Reservation Form must be completed and sent with a $300 deposit per booth. The Advance Reservation Form would be also available at
http://www.peteandc.org/exhibitors.asp
Q: What sizes of booths are available?
A: PETE & C offers 8’ X 8’, 8’ X 10’, 16’ X 20’, and any combination of these.
Q: What services are included in the booth price?
A: Each booth will be provided with tables, chairs, a wastebasket and pipe and drape. Electric, internet, additional furnishings and lead retrieval can be ordered separately at an additional cost. Forms can be found at
http://www.peteandc.org/exhibitors.asp  Each exhibitor is listed in the program book and on the website.
Q: Is the exhibit hall carpeted?
A:
Yes. All exhibit areas at Hershey Lodge have carpeting.
Q: How many booth representatives am I allowed to have?
A:
Each exhibiting company gets 4 complimentary conference registrations with each 8 X 8 or 8 X 10 booth, and 14 with each 16 X 20 booth. Sponsors receive 2 additional registrations. These registrations allow reps to attend all conference activities, but no meals are included. Additional reps can be registered for a fee.
Q: How do I register my exhibit booth representatives?
A:
About one month prior to the conference, exhibitors and sponsor will receive a link via email which will allow them to register their reps online.
Q: What does it mean to be placed on the waiting list for a booth?
A:
It means that as booths become available, they will be assigned to companies on the waiting list in the order in which they were placed on the waiting list. Sponsors on the waiting list do receive priority if booths become available. All companies on the waiting list will receive early information about procuring a booth at the next year’s conference.
Q: Can my company be a sponsor even if we are not exhibiting?
A:
Yes. PETE sponsorships offer unique opportunities to reach attendees through association with various PETE events, services and programs. Pete sponsors receive program book ads, signage, and special recognition. They are also eligible to apply for program presentations and evening social and educational sessions.
Q: Who can I contact for more information?
